This event is being documented for the following purposes:
To be recorded for posterity. This will be 5th Warwick Pageant in 120 years. Archival material from the previous pageant has been used to inform the creation of this celebration and we wish to document this event for future generations.
This is in accordance with the Lawful Basis of Archiving in the Public Interest.
To be recorded as evidence of the artistic practice of Alexander Kaniewski as part his ongoing PhD: Examining the role of the artist in the facilitation of British folk performance cultures.
The event has gone through a rigorous ethical approval process conducted by De Montfort University.
The documentation will be used to promote the work of A Book of Portraits C.I.C. and inform new collaborators and communities of potential projects. Evidence of our work will also be made available to potential funders, helping us to continue to deliver free events for all.
This is recognised as a legitimate interest by the Information Commissioner’s Office.
Where could my image be seen?
In the published thesis and supporting documentation of Alexander Kaniewski's PhD: Examining the role of the artist in the facilitation of British folk performance cultures. Through De Montfort University and The Royal Birmingham Conservatoire.
Images and documentation will feature on our website (www.abookofportraits.co.uk) and social media abookofportraitsprojects.
Warwick Town Council’s website and social media platforms.
Participant rights
Right not to be documented
If you do not wish to be documented, please tell us on the day or by email in advance. We will introduce you to Becky who will be documenting the event. We can then ensure not to document you on the day.
Right to erasure
If featured in any documentation present on A Book of Portraits' website or Instagram abookofportraitsprojects and you wish you or your child’s image be removed/obscured, please contact us. We aim to respond to your email within three days and amend the documentation as quickly as possible.
Right of access
It is also your right to request knowledge of and access to any documentation we keep of you. This only applies to yourself; we will not release images or documentation of others on request as this was not the intended purpose of the documentation and so a breach of GDPR.
Retaining information
As we are recording the event for posterity, documentation will stay with A Book of Portraits C.I.C for the duration of the company’s operation until being passed to an appropriate archive.

As a company we make every effort to inform our audience/participants when filming and photographs are being taken to document our events. We endeavour to respond to any concerns people have about being present in the documentation, both at the time of recording and after the event has concluded.

For images documenting school workshops and other activities in an educational setting A Book of Portraits has acquired the correct parental consent and permissions in order to document and display evidence of these events.
We use documentation of our events in order to promote the work of our company and inform new collaborators and communities of potential projects. Documentation also helps to acknowledge, celebrate and archive the achievements of the artists and communities that have worked towards the delivery of our ephemeral one-off events.
